Who we work with in Maine

Growing businesses across Maine.

Health care and social assistance is Maine’s largest private industry, with about 114,000 jobs, 1.18 times its share of jobs nationally, and professional, scientific, and technical services employ about 33,000 people in more than 11,000 establishments (BLS Quarterly Census of Employment and Wages, 2025 annual averages). Across the state, private employers averaged about 550,000 jobs in 2025.

Maine rules

The Maine rules your finance function runs on.

Eight rules set by Maine, each with the law that sets it and what it does to your month. Your team works to them every pay run and every close.

Last year’s total sets the payment calendar.

The $18,000 lookback over the year to June 30 decides whether withholding leaves the account twice a week or once a quarter, so a growing payroll can move a business to semiweekly payments, and the cash forecast has to follow.

Set by Maine Revised Statutes, Title 36; MRS Rule 803; Withholding Tables for 2026 Individual Income Tax (revised August 2026)

Employers withhold Maine income tax with the 2026 tables or percentage method, at 5.80%, 6.75%, and 7.15%; for single filers the top rate starts at $64,850 of annualized income. From 2026, a 2% surcharge applies above $1 million ($1.5 million for joint filers). Supplemental wages paid separately may be withheld at a flat 5%. Employers that withheld $18,000 or more from July 2024 to June 2025 pay semiweekly; others pay by the quarterly Form 941ME, due the last day of the month after each quarter.

Maine Revised Statutes, Title 36; MRS Rule 803; Withholding Tables for 2026 Individual Income Tax (revised August 2026); 2026 withholding tables, revised August 2026; surcharge for tax years beginning on or after January 1, 2026.

The cost lands early in the year.

Contributions stop once an employee’s wages pass $12,000, so the first quarters carry most of the year’s cost, and every person hired during the year starts the base again.

Set by Maine Employment Security Law; 2026 Annual Rate Category Employer Array

Employers pay unemployment contributions on the first $12,000 of each employee’s wages. For 2026, new employers pay a combined 2.54%: the 2.23% unemployment rate plus the Competitive Skills Scholarship Fund and administrative fund assessments. Combined experience rates run from 0.31% to 6.60%. Form ME UC-1 is due April 30, July 31, October 31, and January 31, and a no-employment return is filed for any quarter without wages.

Maine Employment Security Law; 2026 Annual Rate Category Employer Array; 2026 rate year.

The floor rises every January.

Each new rate takes effect on January 1, so pay rates near the minimum are reset in the first pay run of the year, and staff working in Portland are paid to the city’s higher rate instead.

Set by Maine Revised Statutes, Title 26, § 664

Maine’s minimum wage is $15.10 an hour from January 1, 2026, rising to $15.70 on January 1, 2027, and it is adjusted each year by a set formula. Service employees who receive more than $191 a month in tips may be paid a direct wage of $7.55 an hour, half the minimum, rising to $7.85, as long as tips bring them to the full rate. Portland and Rockland have local minimum wage ordinances of their own.

Maine Revised Statutes, Title 26, § 664; $15.10 from January 1, 2026; $15.70 from January 1, 2027.

Services are usually outside the tax; goods are not.

A firm’s fees for its services are generally not taxed, but anything it fabricates or sells as goods is, so invoices keep the two apart, and tax collected is held until the 15th.

Set by Maine Sales and Use Tax Law, Title 36

Maine’s general sales tax rate is 5.5%. There is no tax on the sale of services in general, but some services are specifically taxable: when the service provider tax was repealed on January 1, 2026, fabrication services, telecommunications, cable and satellite services, and digital audio and audiovisual services moved into sales tax at 5.5%. Lodging is taxed at 9% and prepared food at 8%. Returns are due by the 15th of the month after each monthly, quarterly, semiannual, or annual period.

Maine Sales and Use Tax Law, Title 36; service provider tax repealed and its services moved into sales tax, from January 1, 2026.

Leave is earned, not granted.

Accrual follows hours worked and unused hours carry forward, so the payroll file keeps a running balance for everyone, and having more than 10 employees for more than 120 days in a year brings the whole team under the law.

Set by Public Law 2019, chapter 156, An Act Authorizing Earned Employee Leave

Employers with more than 10 employees in Maine for more than 120 days in a calendar year provide earned paid leave: 1 hour for every 40 hours worked, up to 40 hours a year or the policy’s higher limit, usable for any reason. Unused leave carries over to the next year, employers may front-load it, and they may require a 120-day wait before new employees use it. Exempt salaried employees are presumed to work 40 hours a week.

Public Law 2019, chapter 156, An Act Authorizing Earned Employee Leave; in force from January 1, 2021.

Monthly pay is not an option for hourly staff.

The 16-day limit means hourly teams are paid at least twice a month, and a leaver’s final pay, with their unused vacation, goes in the next regular run.

Set by Maine Revised Statutes, Title 26, §§ 621-A and 626

Employers pay all wages earned at regular intervals of no more than 16 days, on an established day made known to employees, and each payment covers wages earned to within 8 days of payday; salaried employees and family members are excepted. Lengthening the interval takes 30 days’ written notice. An employee leaving employment is paid in full by the next established payday, including unused vacation accrued from January 1, 2023, unless the employer has 10 or fewer employees.

Maine Revised Statutes, Title 26, §§ 621-A and 626.

A week is the whole window.

Seven days leaves no room to batch hires, so the report is done the day someone is added to the payroll file, and the leave notice goes out with the rest of their onboarding papers.

Set by Maine new hire reporting; Maine Paid Family and Medical Leave law

Employers report each hired individual to the Maine Department of Health and Human Services within 7 days of the hire date; the reports also help the Department of Labor detect improper unemployment benefit payments. Within 30 days of hire, employers give each new employee notice of the Maine Paid Family and Medical Leave program, and display the program’s poster where employees can see it, in person or online.

Headcount sets the rate.

Reaching 15 Maine employees paid in 20 or more weeks doubles the premium from 0.5% to 1% of wages, so the payroll file tracks headcount, and the employee share is deducted every pay run until wages reach the cap.

Set by Maine Paid Family and Medical Leave law

Employers with 15 or more Maine employees paid in 20 or more weeks pay premiums of 1% of wages and may deduct up to half from employees’ pay; smaller employers pay 0.5% and may deduct all or part of it. Premiums stop at the Social Security wage base, $184,500 for 2026, and are due with the wage report 30 days after each quarter ends. Benefits, up to 12 weeks of paid family or medical leave, are available from May 1, 2026.

Local rules

Where the rules change across Maine.

Your team applies the local rules as well as the Maine ones. These are the places where a local tax, a wage rate, or a leave law differs from the rest of the state.

Portland

Portland sets a minimum wage of its own, above the state rate, for work done in the city.

  • From January 1, 2026, the minimum wage in Portland is $16.75 an hour for hourly employees, against $15.10 statewide, and $8.38 an hour for service employees.
  • Whenever an emergency order is in effect, the Portland minimum wage is calculated at 1.5 times the regular rates, so emergency pay runs alongside the city’s normal rate table.
  • The highest wage applies by where the work is done, so an employee who works in Portland for one day and elsewhere on other days may need pay broken down by jurisdiction.

How it works from anywhere

Can a team outside Maine run a Maine business?

Yes. Visory’s US leadership team is in New York, and its teams work with businesses across the United States remotely, inside your own accounting file, so nothing about the work depends on where your office is.

Your own file

Your books stay in your own QuickBooks or Xero file. Your team works inside it, so you see the same numbers they do, whenever you look.

A team you know by name

Visory Insights

What your numbers should show in Maine.

Clean books are the start. Every month, Insights turns them into a plain-English report, and a named Business Performance Partner walks your leadership team through what they mean for the year ahead.

Unemployment tax is a first-quarter cost

At the 2.54% new-employer rate on the first $12,000 of wages, each employee costs up to $304.80 a year, and anyone paid more than $48,000 a year reaches the base within the first quarter. Insights puts that cost in the months it is actually paid.

Fifteen employees doubles the leave premium

On a $60,000 salary, the 1% premium for employers with 15 or more Maine employees is $600 a year, of which up to $300 may come from the employee’s pay. Below 15, the 0.5% rate makes it $300. Insights shows the year a hiring plan crosses the line.

Plan the January wage step now

The minimum wage rises from $15.10 to $15.70 on January 1, 2027, adding $0.60 an hour, or $1,248 a year for a full-time employee working 2,080 hours. Insights builds the step into next year’s budget for every role paid near the minimum, before the first 2027 pay run.

Common questions

Questions Maine businesses ask.

Straight answers about bookkeeping and payroll for a Maine business, from a team that works remotely.

Does Visory have an office in Maine?

Visory’s US leadership team is in New York, and its teams work with growing businesses across the United States remotely, so we support businesses in Maine as we do everywhere else. A Maine business gets a dedicated team you know by name, who keep the books and run payroll inside your own QuickBooks or Xero file and meet you by video call. Your records stay in your file, which you can open at any time.

What hours does my Visory team work?

Your team works 9am to 5pm Eastern Time on business days, all year round. Outside those hours, the Visory platform is your 24/7 access point, so your financial information is there whenever you need it.

Can a bookkeeper outside my office look after a Maine business?

Yes. What matters is that the team knows Maine’s rules and works inside your own accounting file. Visory connects to your bank feeds and software, codes and reconciles transactions through the month with Delphi AI working under an expert team, and meets you by video call. Nothing about the work depends on where your office is.

How much does a bookkeeper cost in Maine?

Visory charges one flat monthly fee for the scope we agree, with no hourly billing and no timesheets. The fee reflects the services you take, from bookkeeping and payroll to accounts payable, accounts receivable, and Insights, and the volume of work in your business. After a discovery call, you get a clear proposal, so you know the monthly cost before you start.

See how pricing works

Do you work in QuickBooks and Xero?

Yes. Visory works inside the systems you already use: QuickBooks and Xero for the ledger, Gusto and Rippling for pay runs, and Bill, Ramp, and Stripe for payments, along with your bank feeds. Your books stay in your own accounting file, which you own and can open at any time. Any change to your setup is agreed with you first.

Do Maine businesses charge sales tax on services?

Generally not. Maine does not tax the sale of services in general, but some are specifically taxable, and since January 1, 2026 fabrication services, telecommunications, cable and satellite services, and digital audio and audiovisual services are taxed at the 5.5% sales tax rate after the service provider tax was repealed. This is general information; Maine Revenue Services sets the rules.

Do Maine employers have to give paid leave?

Employers with more than 10 employees in Maine for more than 120 days in a year do. Employees earn 1 hour of paid leave for every 40 hours worked, up to 40 hours a year, and can use it for any reason, with unused hours carried over. Your Payroll Specialist tracks each balance in the pay run. This is general information; the Maine Department of Labor sets the rules.

How much is the Maine Paid Family and Medical Leave premium?

Employers with 15 or more Maine employees pay 1% of wages and may deduct up to half from employees; smaller employers pay 0.5% and may deduct all or part of it. Premiums stop at the Social Security wage base, $184,500 for 2026, and are due 30 days after each quarter. Your Payroll Specialist applies the deduction every pay run. This is general information; the Maine Department of Labor sets the rules.

Can you look after staff in more than one state?

Yes. Each state sets its own income tax withholding, unemployment insurance, minimum wage, and leave rules, and Maine ordinarily withholds from a nonresident who works in Maine for more than 12 days and earns more than $3,000 in the year. Visory keeps one set of books and runs payroll with each state’s rules applied to the staff who work there, so every state’s cost shows in one monthly report.

Do you offer a fractional CFO in Maine?

A fractional CFO advises on numbers someone else produces. Visory runs the books, payroll, and payments, then delivers the insight from the same team: Visory Insights is a plain-English monthly report and a session with a named Business Performance Partner. There is no handover between the doing and the advising, and it comes on one flat monthly fee.
