Payroll

Payroll done for you. Paid on time, every cycle.

Your Payroll Specialist runs your payroll as part of your finance function. Delphi AI prepares and checks the routine work in the background, and you approve before a dollar moves. Every run is paid on schedule through your payroll platform, with withholding and filings prepared from the same run.

  • A named Payroll Specialist who manages every run and answers on the platform.
  • You approve each pay run before it is paid, every cycle.
  • Federal, state, and local withholding, calculated from the run you approve and filed on schedule by your payroll platform.

Pay runs prepared and checked

Your Payroll Specialist runs every cycle; Delphi AI prepares and checks the routine work in the background before it reaches you. Harbour Studio’s March: $74,860 net to 12 people.

Approved by you, then paid on time

You approve the run, and it is paid on schedule through your payroll platform, every cycle.

Withholding calculated and filed

Federal, state, and local withholding calculated from the run you approve, and the filings prepared from the same run.

Deductions, new hires, and departures

Benefits deductions, garnishments, and contributions handled with every run, and new hires and departures set up in payroll by your team.

A full audit trail

Every pay run and every adjustment documented, so what was paid, and when, is on record.

Answers from a named Payroll Specialist

Pay questions go to the person who manages your payroll, on the platform, with the context already loaded.

And what is not included: scheduling and time-tracking systems, employment contracts and HR advice, and income tax returns. The books your payroll reconciles into are bookkeeping, a separate service on the same platform.

Why change

The one deadline that never moves.

Payday waits for nothing: not PTO, not a busy week, not a rule change. Most businesses run it on borrowed hours, the night before, with the setup interpreted from memory.

Doing it yourself

The owner runs payday.

  • The night-before run: pay lands on time because you stayed up, not because the process holds.
  • Setup from memory: rates, deductions, and withholding carried in one head, applied under pressure.
  • Tax deadlines kept in your head: deposits, quarterly returns, and state filings, tracked between everything else.
  • One mistake is personal: it lands on someone’s paycheck, and they tell you first.
Payroll on the side

A job squeezed between other jobs.

  • Run by whoever has time: accurate on a good week, rushed on a normal one.
  • A single point of absence: the person who knows payroll takes PTO, and payday wobbles.
  • Checks happen after payday, when fixing a run means explaining it to your team.
  • Questions queue: a pay stub query waits behind every other job that person holds.

Visory runs payday as a system, not a scramble.

The run Prepared and checked, every cycle

Your Payroll Specialist runs every cycle; Delphi AI prepares and checks the routine work in the background before it reaches you.

The approval Nothing is paid until you approve it

The run comes to you first, and every payment is authorized by you.

The withholding Prepared with the run, not after it

Federal, state, and local withholding calculated from the run you approve, and filed on schedule by your payroll platform.

The fee One flat monthly fee

No timesheets, no hourly billing, no surprises.

Paying people correctly and being able to show it are different jobs. Visory does both.

One system, five services

Your team runs the work. Delphi AI prepares and checks it in the background.

Every Visory service runs the same way: a dedicated team, Delphi AI under their oversight, and one platform where you can see all of it.

  • A dedicated team. A Business Performance Partner, a Manager, a Bookkeeper, and a Payroll Specialist: named people who know your business.
  • Delphi AI, with human oversight. Delphi AI prepares and checks the routine work in the background, and your team oversees every service.
  • One platform. Questions, approvals, and the state of the month in one place, and anything that moves money is authorized by you.

The same system runs bookkeeping, payroll, payables, receivables, and Visory Insights. Only the work changes.

The rules payday runs on

Built for the rules, so you never think about them.

Payroll in the United States runs on standing federal rules with real consequences: a deposit clock that starts on payday, a return every quarter, personal liability for withheld taxes that are not paid over, and records kept for years. Most owners carry them as a background worry.

At Visory they are built into the process instead: federal, state, and local withholding is calculated from the run, the run is prepared and checked by Delphi AI under your Payroll Specialist, and approved by you, and every pay run and every adjustment is documented.

Colleagues at a wood table in a bright office smile as two of them share a high five over a laptop, with a printed chart beside it.

Every payday starts a deposit clock.

Withholding and payroll taxes are calculated from the same run you approve, so the amount due comes from the run Delphi AI prepared and checked under your Payroll Specialist, not one rebuilt at the deadline.

Set by IRS Publication 15, section 11

Withheld federal income tax and social security and Medicare taxes are deposited by electronic funds transfer on one of two schedules, set each calendar year by the taxes reported in a lookback period. A monthly schedule depositor deposits a month’s taxes by the 15th of the next month. A semiweekly schedule depositor deposits for paydays from Wednesday to Friday by the following Wednesday, and from Saturday to Tuesday by the following Friday. Taxes of $100,000 or more accumulated on any day are due the next business day, and late deposits draw penalties of 2% to 15%.

Treasury Regulations section 31.6302-1, for payments made after December 31, 1992; Internal Revenue Service, Publication 15 (2026), Employer’s Tax Guide, section 11, for use in 2026; checked October 8, 2026.

The quarter has to add up to the paydays inside it.

Filings are prepared from the same checked runs as the withholding, so the quarter is built from the runs you approved.

Set by Form 941, Employer’s Quarterly Federal Tax Return

An employer that pays wages subject to federal income tax withholding or social security and Medicare taxes files Form 941 from the quarter in which it first pays those wages and for every quarter after that, even one with no taxes to report, unless it is filing a final return, has been notified by the IRS to file the annual Form 944 instead, or is a seasonal employer in a quarter with no wages paid. Employers of household employees usually do not file Form 941, and wages for farm work are reported on Form 943 instead. It is due by the last day of the month after the quarter ends: April 30, July 31, October 31, and January 31. An employer that deposited the quarter’s taxes on time and in full may file by the 10th day of the second month after the quarter.

Internal Revenue Service, Instructions for Form 941 (Rev. March 2026), Who Must File Form 941? and When Must You File?; checked October 9, 2026.

Outsourcing the work does not outsource the responsibility.

That is why every run comes to you before it is paid: your Payroll Specialist runs it, Delphi AI prepares and checks it in the background, and nothing that moves money happens without your approval.

Set by Internal Revenue Code section 6672

Withheld federal income tax and the employee share of social security and Medicare taxes are trust fund taxes: the employer holds the employee’s money until it is deposited. If they are not paid over and cannot be collected from the business, the IRS can assess the Trust Fund Recovery Penalty, 100% of the unpaid amount, against any responsible person who acted willfully, including someone who signs checks for the business. An employer that outsources payroll remains responsible if the third party fails to deposit or file.

26 U.S.C. 6672(a), United States Code, 2024 edition; Internal Revenue Service, Publication 15 (2026), sections 11 and 16, and Instructions for Form 941 (Rev. March 2026); checked October 8, 2026.

Every run leaves a record.

Every pay run and every adjustment is documented in a full audit trail, so what was paid, and when, is never reconstructed from memory.

Set by Fair Labor Standards Act regulations, 29 CFR part 516

Under the Fair Labor Standards Act, employers keep payroll records for at least three years, and the time cards and wage rate tables behind them for at least two, open to inspection by the Department of Labor, within 72 hours when they are kept at a central office. For federal employment taxes, the IRS asks employers to keep records for at least four years after the fourth quarter of the year is filed.

29 CFR 516.5, 516.6, and 516.7 (eCFR, current to October 6, 2026); Treasury Regulations section 31.6001-1(e)(2); Internal Revenue Service, Employment tax recordkeeping; checked October 8, 2026.

Common questions

Get straight answers on payroll.

What CEOs, presidents, and founders ask before they hand over payday.

Is this payroll software I run myself, or a service?

A service. Your Payroll Specialist runs your payroll every cycle: Delphi AI prepares and checks the routine work in the background, you approve it, and it is paid on schedule through your payroll platform. Your part is the approval.

Do I stay in control of what gets paid?

Yes, by design. Every run comes to you for approval before payment, and every payment is authorized by you. Delphi AI never moves money, and nothing is paid without your approval.

What happens with payroll taxes?

Federal, state, and local withholding is calculated from the run you approve, and the filings are prepared from the same run, with your Payroll Specialist overseeing it and you approving the run. The federal rules payroll runs on, from the deposit schedule to the quarterly Form 941, are set out above. As the employer, you remain responsible for them even when payroll is outsourced, which is why nothing is paid without your approval and every pay run and adjustment is documented.

Do we keep our payroll software?

Yes. Visory works inside the systems you already use, including Gusto for pay runs, and your file stays yours. Any change to your setup is agreed with you before we start.

How hard is it to switch payroll providers?

Switching is part of onboarding, not a leap: payroll is set up on the platform with a parallel run, and your team runs your first pay run alongside you before the first month-end close. There is no fixed timeline, because the state of your books sets the pace. Onboarding is covered step by step on the how Visory works page.

What do my employees see?

Pay stubs every run, delivered through your payroll platform as they are today. Pay questions come to your named Payroll Specialist, so they are answered by the person who ran the pay.

How does pricing work?

One flat monthly fee for the scope we agree, with no timesheets and no hourly billing. For payroll, the fee reflects the number of people paid, so you know the cost before you start. See the pricing page for an estimate.
