Who we work with in Indiana

Growing businesses across Indiana.

Manufacturing is Indiana’s largest private industry, with about 518,000 jobs, twice its share of jobs nationally, and health care and social assistance employs about 460,000 more (BLS Quarterly Census of Employment and Wages, 2025 annual averages). Across the state, private employers averaged about 2.79 million jobs in 2025.

Indiana rules

The Indiana rules your finance function runs on.

Six rules set by Indiana, each with the law that sets it and what it does to your month. Your team works to them every pay run and every close.

The county is fixed on January 1.

An employee who moves in March keeps the county rate set by where they lived on January 1 for the rest of the year, so each Form WH-4 and the county breakdown on Form WH-1 are checked every January.

Set by Indiana Code 6-3-2-1 and 6-3-4-8; Departmental Notice #1 (R47 / 10-26)

Employers withhold Indiana income tax at 2.95% for 2026, falling to 2.9% from January 1, 2027, plus county income tax at the rate for the employee’s county of residence on January 1, from 0.5% in Porter County to 3% in Randolph County. Withholding is paid with Form WH-1 within 30 days of each month’s end, or 20 days once average monthly withholding is more than $1,000, and Form WH-3 reconciles the year by January 31.

Indiana Code 6-3-2-1 and 6-3-4-8; Departmental Notice #1 (R47 / 10-26); 2.95% for taxable years beginning in 2026; county rates effective October 1, 2026.

The whole cost lands early.

The wage base is low, so for full-time salaried staff it is often reached within the first quarter, and nearly a year’s contributions go out with the April report while later quarters carry little.

Set by Indiana Code Title 22, Article 4; IC 22-4-4-2 and 22-4-11-2

Premiums are paid on the first $9,500 of each employee’s gross wages in a calendar year. Most new employers pay 2.5% for their first four calendar years in Indiana, with different new-employer rates for government and construction employers. Experience-rated employers in good standing pay from 0.50% to 7.40%, or up to 9.40% when delinquent. Quarterly wage reports and payments are due by April 30, July 31, October 31, and January 31, filed electronically.

Indiana Code Title 22, Article 4; IC 22-4-4-2 and 22-4-11-2; wage base for calendar years beginning after December 31, 2010.

The pay statement is a legal record.

Every employee covered by the law gets a statement of hours worked, wages paid, and deductions, so the pay stub from each pay run has to match what is posted in the books, line for line.

Set by Indiana Minimum Wage Law, Indiana Code 22-2-2

Indiana’s minimum wage is $7.25 an hour, in effect since July 24, 2009, and overtime is paid at one and a half times the regular rate after 40 hours in a work week. Employers that claim a tip credit pay tipped employees at least $2.13 an hour and make up any shortfall, and employees under 20 may be paid $4.25 for their first 90 consecutive calendar days. Each employee gets a statement of hours, wages, and deductions.

Indiana Minimum Wage Law, Indiana Code 22-2-2; rate in effect since July 24, 2009.

Most services businesses collect nothing.

Fees for services are generally exempt, but goods sold alongside them are taxed at 7%, so invoices separate the two, and any tax collected is held for the return rather than spent.

Set by Indiana Code 6-2.5-2-2 and 6-2.5-6-1

Indiana’s gross retail tax is 7% on goods and tangible personal property, and most services are exempt; the few taxable ones include cable and satellite television and radio, telecommunications, delivery charges, and bona fide service charges. Returns are filed monthly, within 30 days of the month’s end, or 20 days if average monthly collections passed $1,000 the year before, and a merchant collecting $1,000 or less in a year may be allowed to file annually.

Indiana Code 6-2.5-2-2 and 6-2.5-6-1.

The payday trails the work by days, not weeks.

Wages must cover work up to 10 business days before payday, so a pay calendar with a long gap between period end and payday breaks the rule even when everyone is paid twice a month.

Set by Indiana Code 22-2-5-1 and 22-2-9-2

Employers pay each employee at least semimonthly, or biweekly if the employee requests it, for wages earned up to no more than 10 business days before payday. Salaried employees eligible for overtime under the federal Fair Labor Standards Act are exempt from that rule. When an employer separates an employee, unpaid wages are due on the regular payday for the period in which the separation occurred, and an employee who quits is paid on the next usual payday.

Indiana Code 22-2-5-1 and 22-2-9-2.

Pay details go in on day one.

Because the report carries the job title, occupation code, and starting pay, the payroll file has to be complete at setup, so the report is prepared from the same details as the first pay run.

Set by Indiana Code 22-4-10-8

Employers electronically report every newly hired or rehired employee in Indiana to the state directory, through the Indiana New Hire Reporting Center, within 20 days of the hire or rehire date. Reports carry the employee’s name, address, Social Security number, date of hire, date of birth, and eligibility for medical insurance, and now also the current job title, occupational classification code, starting compensation, and rate of pay.

Indiana Code 22-4-10-8.

Indianapolis and Marion County

Marion County sets one of the higher county income tax rates, and food and drink sold there carries a county tax of its own.

  • Employees who lived in Marion County on January 1 have county income tax withheld at 2.02% for the whole year, on top of the 2.95% state rate.
  • Employees living outside Indiana whose principal place of work was in Marion County on January 1 pay the 2.02% county rate too; residents of Kentucky, Michigan, Ohio, Pennsylvania, and Wisconsin pay county tax but not state tax.
  • Food and beverage sales in Marion County carry a 2% county food and beverage tax, and a food truck selling in another county remits that county’s rate for those sales.

Hamilton County

North of Indianapolis, Hamilton County residents pay a lower county income tax, and its food and beverage tax varies by town.

  • Employees who lived in Hamilton County on January 1 have county tax withheld at 1.10%, against 2.02% next door in Marion County, so a move across the county line changes withholding from the next January.
  • Hamilton County charges a 1% food and beverage tax, and some municipalities in the county add one of their own, so each selling location is registered and reported for the right county and town.

How it works from anywhere

Can a team outside Indiana run an Indiana business?

Yes. Visory’s US leadership team is in New York, and its teams work with businesses across the United States remotely, inside your own accounting file, so nothing about the work depends on where your office is.

Your own file

Your books stay in your own QuickBooks or Xero file. Your team works inside it, so you see the same numbers they do, whenever you look.

A team you know by name

A dedicated team runs the work, led by a Business Performance Partner. You meet them by video call, and you always know who to ask.

Indiana rules, built in

Visory runs the finance function for growing businesses across the United States, with its US leadership team in New York. Your books stay in your own QuickBooks or Xero file, and your team works inside it with you. Every pay run and every close is checked against the rules on this page.

Business hours, and the platform after them

Your team works 9am to 5pm Eastern Time on business days, all year round, and the Visory platform is open to you around the clock for documents, approvals, and your numbers.

Visory Insights

What your numbers should show in Indiana.

Clean books are the start. Every month, Insights turns them into a plain-English report, and a named Business Performance Partner walks your leadership team through what they mean for the year ahead.

Where staff live changes take-home pay

On $60,000 of taxable wages, county tax withheld is $1,212 for a Marion County resident at 2.02% and $660 for a Hamilton County resident at 1.10%. Because the county is fixed each January 1, Insights shows the effect when you set salaries or relocate staff.

Unemployment costs, settled in one quarter

At the 2.5% new-employer rate, each employee costs at most $237.50 a year, and anyone paid $38,000 or more evenly through the year reaches the $9,500 wage base inside the first quarter. Insights puts the full year’s cost into the April 30 payment.

Sales tax falls due sooner past $14,286

Once average monthly sales tax collections pass $1,000, returns are due 20 days after each month instead of 30. At 7%, that is about $14,286 of taxable sales a month. Insights flags the year you cross it, so the cash is set aside ten days sooner.

Questions Indiana businesses ask.

Straight answers about bookkeeping and payroll for an Indiana business, from a team that works remotely.

Does Visory have an office in Indiana?

Visory’s US leadership team is in New York, and its teams work with growing businesses across the United States remotely, so we support businesses in Indiana as we do everywhere else. An Indiana business gets a dedicated team you know by name, who keep the books and run payroll inside your own QuickBooks or Xero file and meet you by video call. Your records stay in your file, which you can open at any time.

What hours does my Visory team work?

Your team works 9am to 5pm Eastern Time on business days, all year round. Outside those hours, the Visory platform is your 24/7 access point, so your financial information is there whenever you need it.

Can a bookkeeper outside my office look after an Indiana business?

Yes. What matters is that the team knows Indiana’s rules and works inside your own accounting file. Visory connects to your bank feeds and software, codes and reconciles transactions through the month with Delphi AI working under an expert team, and meets you by video call. Nothing about the work depends on where your office is.

How much does a bookkeeper cost in Indiana?

Visory charges one flat monthly fee for the scope we agree, with no hourly billing and no timesheets. The fee reflects the services you take, from bookkeeping and payroll to accounts payable, accounts receivable, and Insights, and the volume of work in your business. After a discovery call, you get a clear proposal, so you know the monthly cost before you start.

See how pricing works

Do you work in QuickBooks and Xero?

Yes. Visory works inside the systems you already use: QuickBooks and Xero for the ledger, Gusto and Rippling for pay runs, and Bill, Ramp, and Stripe for payments, along with your bank feeds. Your books stay in your own accounting file, which you own and can open at any time. Any change to your setup is agreed with you first.

Do Indiana businesses charge sales tax on services?

Usually not. Most services in Indiana are exempt from the 7% sales tax; the few taxable ones include cable and satellite television and radio, telecommunications, delivery charges, and bona fide service charges. Goods and tangible personal property you sell alongside your services are taxed at 7%. This is general information; the Indiana Department of Revenue sets the rules.

How does Indiana county income tax work?

Employees have county income tax withheld as well as the 2.95% state tax, at the rate for the county they lived in on January 1, from 0.5% to 3%. Someone living outside Indiana pays the rate for the county where they principally worked on January 1. This is general information; the Indiana Department of Revenue sets the rules.

How often do I have to pay employees in Indiana?

At least twice a month, or every two weeks if the employee asks, for wages earned up to no more than 10 business days before payday. Salaried employees eligible for federal overtime are exempt from that rule. An employee who leaves is paid on the next regular payday. This is general information; Indiana law and the Department of Labor set the rules.

Can you look after staff in more than one state?

Yes. Each state sets its own income tax withholding, unemployment insurance, minimum wage, and leave rules, and Indiana does not tax the wages of residents of Kentucky, Michigan, Ohio, Pennsylvania, and Wisconsin, though county tax still applies. Visory keeps one set of books and runs payroll with each state’s rules applied to the staff who work there, so every state’s cost shows in one monthly report.

Do you offer a fractional CFO in Indiana?

A fractional CFO advises on numbers someone else produces. Visory runs the books, payroll, and payments, then delivers the insight from the same team: Visory Insights is a plain-English monthly report and a session with a named Business Performance Partner. There is no handover between the doing and the advising, and it comes on one flat monthly fee.
