Catch-up bookkeeping

Books behind? Get them current again.

Visory brings books that have fallen behind back into line, from the last period that was properly reconciled: the backlog reconciled, the suspense account cleared, the coding corrected, your overdue payroll returns prepared, ready to file, and the figures your other overdue returns need ready. Then the same team keeps them current with ongoing monthly bookkeeping.

  • The backlog reconciled, from your last reconciled period to today.
  • Suspense cleared and coding corrected, so the numbers mean what they say.
  • Overdue payroll returns ready to file, prepared from the reconciled books.

What the catch-up covers

The catch-up scope, numbered and specific.

Six pieces of work, from the last period that was properly reconciled to today, set out in your proposal before anything starts. If it is not in the scope, we agree it with you first.

Catch-up bookkeeping · the scope Quoted before work starts

Bank and card accounts reconciled

Every outstanding bank and card line matched to an invoice, a bill, or a rule, and each account checked against its statement.

Suspense cleared, coding corrected

Suspense and uncategorized transactions investigated and coded, or raised with you when only you can explain them. Miscoded and duplicate entries are corrected.

Payables and receivables that match reality

Your accounts payable and accounts receivable brought into line with what you really owe and are owed, with stale and duplicated bills and invoices cleared.

Payroll reconciled, payroll returns current

Wages and payroll taxes in the ledger reconciled to your payroll records, and any missing quarterly Forms 941 and annual Forms 940 prepared from the reconciled books, then reviewed and signed off, ready to file.

The figures your other overdue returns need

Contractor payments and taxable sales reconciled in the books, so the figures your overdue Form 1099-NEC and 1099-MISC information returns and state sales tax returns need are ready for whoever prepares and files them.

Handed into the monthly rhythm

A reconciled file handed into ongoing monthly bookkeeping, with your business rules written down so the backlog does not build up again.

And what is not included: income tax returns and audits. Once the books are current, the ongoing work is monthly bookkeeping, run by the same team on the same platform.

Why change

The longer the books wait, the harder every decision gets.

Books fall behind for ordinary reasons: a bookkeeper leaves, the business grows faster than the admin, one busy season runs into the next. The filing deadlines keep arriving anyway, and every number you look at is months old.

Doing it yourself

Weekends spent on last year.

  • Months of bank lines: each one needs a receipt you have to find first.
  • A growing suspense account: anything unclear gets parked and forgotten.
  • Returns on best guesses: filed to meet the deadline, not from reconciled books.
  • The current month slips too: fixing the past puts the present behind.
Leaving it for year-end

Everything is found at once.

  • One big clean-up: squeezed in under the tax return deadline.
  • Decisions without numbers: hiring, pricing, and cash calls made on instinct.
  • Corrections after the fact: earlier returns may need amending.
  • No rhythm afterwards: the books are fixed once, then start slipping again.

Visory brings the books current, then keeps them there.

The work Reconciled, cleared, and corrected

Your Bookkeeper runs the catch-up, and Delphi AI codes and checks the backlog in the background.

The returns Payroll returns prepared, ready to file

Prepared from reconciled books, then reviewed and signed off, with the figures your other returns need ready too.

What follows Ongoing monthly bookkeeping

The same team keeps the books current from then on.

Catching up once is useful. Staying current is the point.

One system, five services

Your team runs the work. Delphi AI prepares and checks it in the background.

Every Visory service runs the same way: a dedicated team, Delphi AI under their oversight, and one platform where you can see all of it.

  • A dedicated team. A Business Performance Partner, a Manager, a Bookkeeper, and a Payroll Specialist: named people who know your business.
  • Delphi AI, with human oversight. Delphi AI prepares and checks the routine work in the background, and your team oversees every service.
  • One platform. Questions, approvals, and the state of the month in one place, and anything that moves money is authorized by you.

The same system runs bookkeeping, payroll, payables, receivables, and Visory Insights. Only the work changes.

How a catch-up runs

From a backlog to books you can use.

A catch-up runs as part of onboarding, from a scope agreed with you, so Visory starts your ongoing bookkeeping from reconciled numbers. Here is who does what.

What the team does

Named people do the work, and stay on afterwards.

Your Bookkeeper works the backlog and your Manager checks it before it reaches you.

  • Scopes the catch-up from your free financial health check, and agrees the point the books are brought up to.
  • Reconciles the backlog, bank and card lines matched to invoices, bills, and rules.
  • Clears suspense and corrects coding, with Delphi AI checking every line under the team’s oversight.
  • Prepares your overdue payroll returns from the reconciled books, ready to file, and reconciles the figures your 1099 and sales tax returns need.
  • Hands the books into monthly bookkeeping, with your business rules written down.
What you provide

Everything is asked for once, at the start.

The catch-up moves as fast as access and answers arrive, so it is all requested up front.

  • Access to your accounting file and your bank feeds.
  • Statements for the months that are behind, and copies of any returns already filed.
  • The bills and receipts you can find, where a bank line alone does not say enough.
  • Answers on the transactions only you can explain.
  • A decision-maker to agree the scope and approve how things are set up.

Back to the last reconciled period

The catch-up starts from the last period that was properly reconciled, so every open filing period and the current year are right. Earlier years are included only where a return is still outstanding. Your free financial health check is where the backlog is measured.

Quoted in your proposal, before work starts

The catch-up is scoped in your proposal as part of onboarding, in the Clean-up phase, and quoted before any work starts, so there are no surprise invoices. Once the books are current, one flat monthly fee for the agreed scope applies.

Paced by the backlog

How long it takes depends on how far behind the books are and how quickly access and answers arrive. Your proposal sets it out, and the current month stays current while the backlog is worked.

The monthly rhythm

Run every month to the same rhythm.

Once the backlog is clear, your books move into ongoing bookkeeping and run to the same rhythm every month: the work, the close, the brief, and the session. Here is March for Harbour Studio, end to end.

March 1 to 31 Coded and reconciled as they land 384 transactions matched by close
Month-end The close Closed on schedule On the timetable agreed with you
With the close The Insights brief Gross margin 64%, up 2.1 points since January, against a 60% target
Thursday, April 9 The session 9:00 to 9:45am with your Business Performance Partner

The brief and the session are Visory Insights, part of the same rhythm.

Pricing

Know the cost before you start.

One flat monthly fee for the scope we agree. Nobody here bills by the hour.

A scope agreed up front

What Visory runs each month is written down before you commit, so the fee is attached to a defined scope, not an estimate of hours.

A fee that moves with scope, not hours

No timesheets. The fee reflects the services you take and the volume of work in your business, and it only changes when the scope does.

An estimate before you talk to anyone

Common questions

Get straight answers on catching up.

What owners and managers ask when the books have fallen behind.

Our books are months behind, maybe more. Can you still help?

Yes, and it is common. Months behind or years, there is no judgment. The catch-up goes back to the last period that was properly reconciled, so every open filing period and the current year are right. Earlier years are included only where a return is still outstanding. Your free financial health check measures the backlog, and your proposal sets out the work before anything starts.

What do you need from us?

Access to your accounting file and bank feeds, statements for the months that are behind, copies of any returns already filed, the bills and receipts you can find, and someone who can answer questions about the transactions we cannot explain. Your Business Performance Partner asks for everything at the start, once.

What about our overdue payroll, 1099, and sales tax returns?

Visory prepares your missing payroll returns, the quarterly Form 941 and annual Form 940, from the reconciled books, and each one is reviewed and signed off, ready to file. Once you are current, payroll with Visory calculates withholding with each pay run, and your payroll platform files it on schedule. For your Form 1099-NEC and Form 1099-MISC information returns and your state sales tax returns, the catch-up reconciles what you paid contractors and what you sold, so the figures are ready for whoever prepares and files them. A period with nothing to report can still need a return: in New York, for example, a business registered for sales tax files a return for every period, even one with no taxable sales.

What happens to the current month while you catch up?

It keeps moving. The backlog is worked while the current month stays current, so you do not finish the catch-up already behind again.

What happens once we are caught up?

Your books move into ongoing monthly bookkeeping with the same team: every transaction coded and reconciled as it lands, and month-end closed on a timetable agreed with you.

Where does the free financial health check fit?

It is the usual first step, and it is where the backlog is measured. A senior member of the Visory team analyzes your financials and shows you where the books stand, and what it finds is scoped into your proposal and cleared as part of the catch-up. See the free financial health check.

How do we know what it will cost?

The catch-up is scoped in your proposal as part of onboarding, in the Clean-up phase, and quoted before work starts, so there are no surprise invoices. Once the books are current, one flat monthly fee for the agreed scope applies. You can see an estimate of the monthly fee on the pricing page.

How long does a catch-up take?

It depends on the backlog: how far behind the books are, and how quickly access and answers arrive. Your proposal sets it out before anything starts, and the current month stays current while the backlog is worked.
